Context & objectives

Petal is a SaaS platform designed to support employee onboarding.

The objective was to simplify a process that is often fragmented across multiple tools, documents and internal approvals.

The experience needed to support employee record creation, onboarding progress tracking and administrative task management within a single interface.

The main challenge was to make onboarding faster, clearer and easier to manage for HR teams.

Cognitive overload

The onboarding form presents 32 fields simultaneously, without structure or visible progression.

Users feel overwhelmed before they even begin.

Too much information discourages action.

Ambiguous confirmation

Three visually identical buttons appear at the final validation stage.

Users hesitate instead of feeling confident about the next step.

Without hierarchy, there is no clear decision.

Passive empty state

An empty screen with no guidance or suggested action greets users on their first login.

The product feels inactive rather than ready for a first step.

A silent product guides no one.

Unstructured information

Progress statuses receive little emphasis throughout the journey.

Critical information often requires multiple manual checks.

Visible does not always mean understandable.

The original experience lacked structure and visibility across the onboarding process.

The absence of clear progression, visible statuses and centralised information increased cognitive load for HR teams.

The redesign focuses on making onboarding easier to follow, easier to manage and easier to act upon.

The process was divided into distinct steps to reduce perceived complexity and make progression easier to follow.

A dashboard was introduced to bring together employees, statuses and key onboarding indicators in a single place.

The redesigned interface introduces a clearer structure and a better separation of responsibilities across screens.
